Overview
LineNow can capture order information from a connected inbox, a forwarded email, or an invoice photographed on a phone. Use the original document and review the captured result before relying on it.
Forward an email order
- Open the external-order action in Purchase Orders and choose the email option.
- Copy the Order forwarding email shown for your business.
- Forward the actual order email or conversation to that address. Include its invoice attachments.
- Return to Purchase Orders and review the captured record or review flag.
Use the address generated for your business. Forwarding an email does not place another order with the supplier.
Capture a paper invoice
- Choose the scan-to-capture option.
- Scan the QR code with your phone or open the private capture link.
- Photograph every page of one invoice clearly.
- Submit those pages together as one invoice.
- Review the captured purchasing details and any proposed order match.
Prevent duplicates
Check whether the order already exists from a connected inbox or manual entry. Compare supplier, invoice number, dates, and items before treating a captured document as a new order.
If the document is not captured correctly
Use readable pages with the supplier name, invoice number, totals, and item lines visible. Review the source document against the proposed items, packs, quantities, and costs. Correct ambiguous information through the available review workflow instead of assuming every extraction is exact.
Keep capture links private
The capture link can accept invoice submissions without sign-in. Share it only with the people who should submit documents for your business.
