Overview
Purchase Lists are reusable lists of items you frequently order. A list can gather purchasing work across suppliers so you do not have to rebuild the same selections each time.
Create a list
- Select the business unit and open Purchase Lists.
- Choose Create New Purchase List.
- Enter the List Name and choose Create List.
- Add the purchasing items and review their quantities.
- Use Manage Access to choose the teammates who should work with the list.
Use the list to purchase
- Open the list and check which items are selected for this purchasing round.
- Review quantities, packs, suppliers, and prices.
- Choose the available action to add selected items to supplier carts or create orders.
- Read the result: Items added to carts is different from Orders created.
- Open the resulting cart or PO for each supplier and complete the remaining review or communication step.
A multi-supplier list produces supplier-specific work. Read each result row rather than assuming the list becomes one combined PO.
Maintain a reusable list
Update quantities as your needs change. Remove an item from the list when it is no longer part of that routine; removing a list row is different from archiving the purchasing item itself. Check access when responsibility for the list changes.
When a list cannot be used
Dropship units use the sales-order fulfillment workflow instead of Purchase Lists. Other restrictions can come from business-unit or supplier access, archived items, or purchasing eligibility.
Before running it again
Review the last result and existing carts or POs. Repeating a process without checking its result can add quantities or create duplicate purchasing work.
