Overview
Bulk catalog tools help you maintain a large item list. Use the action that matches the problem: linking a provider record, publishing an item, merging duplicates, or archiving records you no longer use.
Prepare the selection
- Open Items in the correct business unit.
- Search or filter by supplier, product, SKU, or tags.
- Review which records are selected before opening a bulk action.
- Read the proposed changes and destination for each row.
Link or publish
Linking associates an existing provider product with the purchasing record. Publishing sends item information to the selected provider where supported. Review proposed matches and avoid publishing a new provider product when the correct product already exists.
Merge duplicates
Choose the surviving record deliberately. Check supplier assignments, packs, SKUs, and downstream product or recipe relationships first. Two records with similar names may represent different supplier offers or pack sizes and should remain variants rather than being treated as accidental duplicates.
Archive unused items
Archiving removes an item from active catalog workflows. Review whether the item is still needed for ordering, inventory planning, or a recipe before confirming. Use the archived view when you need to inspect records that no longer appear in the active list.
After a bulk action
Refresh the list and check representative affected records. Review the operation's result rather than assuming all rows succeeded. Follow any displayed validation or mapping issues before running the same selection again.
If an action is disabled
Check your Procurement permission, the selected unit type, the provider connection, and whether the selected records are eligible for that operation.
