Overview
Supplier replies and documents can change the information known about a PO. Review those changes and use the order's editing or reconciliation actions to keep the record accurate.
Review a flagged order
- Open the PO from Purchase Orders.
- Read the review banner or discrepancy panel.
- Open the attached source document or conversation.
- Compare item identity, packs, quantities, prices, taxes, additional costs, and dates with the PO.
- Resolve the listed issues and save the accepted corrections.
Edit order items
Use the available edit controls to update items, add missing items, or remove incorrect rows. Review the pending-change summary before saving. If you navigate away with unsaved changes, use the dialog to decide whether to save or discard them.
Choose whether to notify the supplier
Where reconciliation offers Send email notification with the update, check its state before saving. Leave it enabled when the supplier needs the revised order. Clear it when you are only correcting the internal record and the workflow allows that. Reporting-only relationships save without notification.
Do not rely on the old rule that every correction to a confirmed order is always silent. The current save dialog determines notification behavior.
Update status or resend a PO
Use Update Order Status for the status change the record needs. Use Resend Purchase Order only when the supplier should receive another copy. Resending a PO is not the same as correcting the receiving quantity.
Check the activity log
The order activity shows changes and helps your team understand who did what. Keep source documents and relevant notes with the order so later review has context.
Before recording stock
Resolve receiving blockers before submitting a receipt. For Procure to Produce, resolve ERP-sync review and complete physical receiving in the ERP.
