Overview
Email Templates lets you edit the default emails used in supported supplier communication. Use templates to include the instructions your trading partners need without retyping them on every order.
Edit a template
- Open Email Templates.
- Select the template for the message you want to change.
- Update Email Subject and, when editing the body, HTML Template (Pug Format).
- Preserve the supported placeholders used to insert order-specific details.
- Check Subject Preview and the body Preview, then choose Save Template.
Use the template editor correctly
The body editor uses Pug syntax and indentation. Start from the existing template, keep its structure, and use the Variables list for supported values. Resolve any Pug Compilation Error before saving. The preview uses sample values; it does not send a live email. Use Reset only when you intend to restore the template shown by that action.
What belongs in a template
Include reusable instructions, such as how to confirm an order, whom to contact, or what information to include in a reply. Keep order-specific quantities, dates, and reference information with the order rather than hard-coding them into every template.
Review the next message
Check the recipient and generated message when you next send a PO or update. A saved template changes the text used by its workflow; it does not switch a supplier from self-placed ordering to LineNow sending, or make an unsupported channel available.
Buyer and supplier use
The Email Templates tab appears in both buyer and supplier navigation. Edit the template for the account you are currently using, and check that its language fits the audience receiving it.
If a template is missing or unusable
Check the account type, permissions, selected business unit, and supplier ordering workflow. Reporting-only workflows do not use the same automatic supplier emails. If a placeholder no longer resolves after editing, restore the supported placeholder shown in the form and review the generated message.
