Overview
A purchasing total can include item prices, taxes, additional costs, and credits. Review the order's currency and the meaning of each cost before using its values for accounting or inventory review.
Add or correct additional costs
- Open the PO and its Additional Costs section.
- Use Add Additional Cost and enter the cost information.
- When allocation is available, choose which order items participate and the allocation method.
- Review the resulting amounts. Allocated amounts must equal the additional cost being allocated.
- Choose Save Additional Costs and check the saved totals.
Review credits separately
Use the credit-note information attached to the order to understand reductions or adjustments. Do not remove a received item merely to represent a supplier's financial credit; the financial record and physical stock movement describe different events.
Check currency
Read the currency used by the supplier relationship, business unit, and order. A purchasing price in one currency and an inventory or accounting value in another cannot be compared as raw numbers. Review the available converted amounts and source documents.
Landed-cost allocation
Where your account has Landed Costs enabled, allocate qualifying additional costs to the relevant item lines. Check both the allocation total and the selected participants. Not every cost belongs to every item in an order.
Estimated and actual values
Some stock values may reflect estimates or incomplete acquisition information. Review the cost information and underlying receipts before treating the amount as a final documented purchasing cost. A current supplier catalog price does not automatically explain what an older receipt cost.
If totals differ
Compare packs, quantities, tax settings, credits, allocations, and currencies first. Check the actual invoice and order activity before changing a cost to make two totals appear equal.
