Overview
The ordering method tells LineNow whether to send a PO, watch for website confirmations, or simply record an order you place yourself. Choose the method that matches how the supplier actually accepts orders.
The four external-supplier workflows
| Option | What happens |
|---|---|
| LineNow sends the PO | Create the PO in LineNow. LineNow emails it to the supplier and tracks replies where monitoring is enabled. |
| I order on the supplier’s website | Place the order on the supplier's site. LineNow reads relevant confirmations and updates from a connected Gmail or Outlook inbox. |
| I order through WhatsApp | Create the PO in LineNow and select a WhatsApp recipient at confirmation. The PDF is sent and replies appear in Communication. |
| I place orders myself | Save the draft in LineNow, then order by phone, in person, or another channel. LineNow does not contact the supplier for this action. |
Set or change the method
- Open the supplier's addition or edit form in Suppliers.
- Answer How do you order from this supplier?
- Enter the contacts requested for that option. Review additional recipients or confirmation senders separately.
- Add supplier instructions or website notes where the form offers them.
- Save, then review the confirmation screen on the next order before sending anything.
Why an option is unavailable
Website ordering requires a connected Gmail or Outlook inbox. WhatsApp ordering requires a connected WhatsApp account. Dropship setup does not offer the website or self-placed ordering options.
Prevent duplicate orders
For website or phone purchases, do not send a second PO just to create a record. Use the matching workflow, forward the actual confirmation, or capture the document. Saving a draft for a self-placed order does not place the order with the supplier.
